Registration & Cancellation Policy – GNF26

With regard to the Geneva New Fuels Conference 2026 (“GNF26”) scheduled to take place at the Hotel President Wilson, Geneva, Switzerland on November 19, 2026, the following registration cancellation conditions apply.

This Registration & Cancellation Policy forms part of the contractual terms between the participant (individual or company) and the Organiser in relation to conference registration fees.

This policy applies to delegate registrations for GNF26 (including tickets purchased by companies for employees or guests). Unless otherwise confirmed in writing, cancellations apply to the entire registration (partial day cancellations are not supported).


How to Cancel

To be eligible for any refund, you must cancel in writing by email to:

conference@genevanewfuels.com

Your cancellation is considered received when the Organiser receives your email (not when it is sent). We recommend requesting an acknowledgement of receipt.


72-Hour “Registration Grace Period”

Once you register for GNF26 and have paid the registration fee, you will be granted a 72-hour Registration Grace Period.

If you cancel within this 72-hour period, you will be eligible to receive a refund of the registration fees paid minus a CHF 75.00 non-refundable transaction processing fee.


Cancellation Windows (After the 72-Hour Grace Period)

If a registration cancellation is after 72 hours from registration/payment, the following conditions apply:

1) Cancellations received on or before 21 August 2026

A 20% deduction of the amount paid plus a CHF 75.00 processing fee will be applied.

2) Cancellations received on or before 19 October 2026

A 50% deduction of the amount paid plus a CHF 75.00 processing fee will be applied.

3) Cancellations received on or after 20 October 2026

You will not be eligible for a refund.


Refund Method, Timing, and Processing

If your registration cancellation meets the criteria above:

  • The refundable amount (registration fee minus the applicable deduction and minus the CHF 75.00 processing fee) will be credited back to the same credit card and/or bank account used for payment, where practicable.
  • No cash refunds will be provided under any circumstances.
  • Refunds may take up to 30 days to process after approval/verification.

Non-Refundable Items


No refunds will be given on any additional fees or other service fees, including (without limitation):

  • hospitality services
  • special room bookings
  • transportation services
  • third-party charges or services arranged outside the registration fee

Substitutions

  • Substitutions are permitted at no charge up to 3 business days before the event start, provided the substitute is from the same organisation.
  • Send the request to conference@genevanewfuels.com with full details of the replacement attendee.
  • Badge sharing is not permitted; ID may be requested onsite.

Force majeure

We are not responsible for failure or delay caused by events outside reasonable control (e.g., government restrictions, public health emergencies, venue closure, severe travel disruption). In such cases we will act fairly and communicate available remedies.


Postponement by the Organiser

Should the event need to be postponed, the organisers confirm that individuals or companies who prior to the postponement announcement paid registration fees will have the option to either:

  • request reimbursement of their registration payment, or
  • agree to have their registration payment held as a deposit for a future rescheduled event.

Deposit Incentive

Those who agree to have their registration payment held as a deposit for a future rescheduled event will be entitled to a CHF 100 discount on the delegate fee for the rescheduled event, when registering for the new dates.
